Wantedlab, Inc. ("Company," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and protect personal information in connection with Vetify ("Service").
By using the Service, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the Service.
1. Scope and Roles
This Policy applies to two categories of users:
- Recruiters (Business Users): Companies and individuals who register for and use the Service to conduct candidate screening.
- Candidates: Job applicants who participate in AI-conducted screening interviews initiated by Recruiters.
For the purposes of applicable data protection law:
- The Recruiter acts as the data controller with respect to candidate personal data — the Recruiter determines the purposes and means of processing.
- The Company acts as a data processor on behalf of Recruiters for candidate data.
- The Company acts as a data controller for Recruiter account data.
2. Information We Collect
2.1 Information Collected from Recruiters (Account Data)

The above information is obtained automatically through Google OAuth 2.0 authentication when you sign in to the Service using your Google Workspace account.
2.2 Information Collected from Candidates (Screening Data)
Voice recordings may be classified as biometric information under certain state laws, including the Illinois Biometric Information Privacy Act (BIPA). Where required by applicable law, Recruiters are responsible for obtaining separate written biometric consent from candidates prior to initiating an AI interview in covered jurisdictions.

2.3 Automatically Collected Technical Data
We may automatically collect certain technical information when you use the Service, including IP addresses, browser type, device identifiers, access logs, and usage data. This information is used for service operation, security monitoring, and improving service quality.
3. How We Use Personal Information
We use the personal information we collect for the following purposes:
- To provide, operate, and maintain the Service.
- To authenticate users and manage account access.
- To transmit interview invitations to candidates on behalf of Recruiters.
- To facilitate AI-conducted voice interviews via ElevenLabs.
- To generate screening reports, scores, and analysis results.
- To send system notifications, including interview completion and report availability alerts.
- To detect, investigate, and prevent fraudulent or unauthorized activity.
- To comply with applicable legal obligations.
- To improve and develop the Service (using aggregated, de-identified data only — we do not use identifiable customer data to train AI models).
4. Disclosure of Personal Information
4.1 Third-Party Service Providers
We share personal information with third-party service providers who assist us in operating the Service. These providers process data in accordance with applicable law and their own data practices, as further described below.

Please note that ElevenLabs processes candidate voice data under its own Privacy Policy and Terms of Service. Vetify does not have a separate Data Processing Agreement with ElevenLabs. By using the Service, Recruiters acknowledge and accept ElevenLabs' data practices as described at elevenlabs.io/privacy.
4.2 Legal Requirements
We may disclose personal information if required to do so by law or in response to valid legal process (e.g., subpoena, court order), or to protect the rights, property, or safety of the Company, our users, or the public.
4.3 Business Transfers
In the event of a merger, acquisition, reorganization, or sale of all or a portion of our assets, personal information may be transferred as part of that transaction. We will provide notice of any such transfer and any choices you may have.
4.4 No Sale of Personal Data
The Company does not sell personal information to third parties for their own marketing or commercial purposes.
5. Data Retention
We retain personal information only for as long as necessary to provide the Service and fulfill the purposes described in this Policy, unless a longer retention period is required by law.
- Recruiter account data (name, email, company name, profile image) is retained until account deletion, at which point it is immediately destroyed.
- Candidate data held by Vetify (interview analysis results, transcripts) is retained for the duration of the active project or account, and destroyed within 30 days following account deletion or upon explicit deletion request.
- Upon account deletion, a 30-day grace period applies during which data may be recoverable upon request. After 30 days, all Vetify-held data is permanently and irreversibly deleted.
Important — ElevenLabs Data Retention:
Candidate voice data transmitted to ElevenLabs is subject to ElevenLabs' own data retention schedule. ElevenLabs may retain voice data for up to 3 years from the date of last interaction, and may process such data for AI model development purposes, subject to applicable opt-out rights under ElevenLabs' Privacy Policy. Vetify does not control ElevenLabs' retention of candidate voice data. Recruiters are encouraged to review ElevenLabs' Privacy Policy at elevenlabs.io/privacy prior to initiating AI interviews.
6. Data Security
We implement and maintain appropriate technical and organizational measures to protect personal information from unauthorized access, disclosure, alteration, or destruction. These measures include:
- Encryption of data in transit (TLS) and at rest.
- Access controls and authentication requirements for all Service access.
- Regular security assessments and vulnerability monitoring.
No system is completely secure. While we strive to protect your information, we cannot guarantee the absolute security of data transmitted over the internet or processed by third-party service providers, including ElevenLabs.
7. International Data Transfers
The Service is operated by Wantedlab, Inc., incorporated in the Republic of Korea. Data may be transferred to and processed in the United States and other countries where our service providers operate, including ElevenLabs (United States). These countries may have data protection laws that differ from those in your jurisdiction.
Where we transfer personal data internationally, we implement appropriate safeguards in accordance with applicable law. Please note that ElevenLabs independently maintains hosting and server locations in the United States, Netherlands, and Singapore, and manages its own international transfer mechanisms as described in the ElevenLabs Privacy Policy.
8. Your Rights and Choices
Depending on your jurisdiction, you may have the following rights with respect to your personal information:
- Access: Request a copy of the personal information we hold about you.
- Correction: Request correction of inaccurate or incomplete personal information.
- Deletion: Request deletion of your personal information, subject to our retention obligations.
- Portability: Request transfer of your personal information to another service.
- Objection: Object to certain processing of your personal information.
California residents have additional rights under the California Consumer Privacy Act (CCPA), including the right to know, the right to delete, and the right to opt-out of the sale of personal information. Please note that we do not sell personal information.
Regarding ElevenLabs-held voice data: To exercise data rights over voice data processed by ElevenLabs, you or the Recruiter must contact ElevenLabs directly at legal@elevenlabs.io. Vetify cannot fulfill data deletion or access requests on behalf of ElevenLabs.
To exercise your rights regarding Vetify-held data, please contact us at help@vetify.ai. We will respond to verified requests within 30 days.
9. Automated Processing and Human Oversight
The Service uses automated AI processing to generate interview scores, verdicts, and screening reports. These outputs are intended solely as informational tools to support Recruiter judgment. Vetify does not make automated employment decisions. All hiring decisions remain solely with the Recruiter.
Candidates may contact the Recruiter directly to request human review of any AI-generated screening result.
10. Cookies and Tracking Technologies
The Service may use cookies and similar tracking technologies to maintain session state, remember user preferences, and analyze Service usage. You may control cookie settings through your browser; however, disabling cookies may affect Service functionality.
We do not use cookies for third-party advertising or cross-site tracking.
11. Children's Privacy
The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from minors. If we become aware that we have collected personal information from a child under 18, we will take steps to delete that information promptly.
12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you through the Service or by email at least 30 days before the changes take effect. Your continued use of the Service after the effective date constitutes your acceptance of the updated Policy.
We maintain a record of prior versions of this Policy, which are available upon request.
13. California Privacy Rights — CCPA Notice at Collection
This section applies to residents of California and is provided pursuant to the California Consumer Privacy Act, as amended by the California Privacy Rights Act (collectively, "CCPA").
13.1 Categories of Personal Information We Collect
We collect the following categories of personal information:
- Identifiers: Name, email address, company name, IP address.
- Audio and Voice Data: Voice recordings collected during AI-conducted screening interviews, transmitted to ElevenLabs for processing.
- Professional or Employment-Related Information: Interview responses, AI-generated scores, verdicts, and screening reports.
- Technical Data: Browser type, device identifiers, access logs, and usage data.
13.2 Purposes of Collection
We collect the above categories of personal information for the following purposes:
- To provide, operate, and maintain the Service.
- To conduct AI-powered candidate screening interviews on behalf of Recruiters.
- To generate structured screening reports, scores, and analysis results.
- To authenticate users and manage account access.
- To detect, investigate, and prevent fraudulent or unauthorized activity.
- To comply with applicable legal obligations.
13.3 Data Retention
Vetify-held personal information (account data, analysis results, transcripts) is retained until account deletion and permanently destroyed within 30 days thereafter.
Voice data transmitted to ElevenLabs is subject to ElevenLabs' retention schedule of up to 3 years from last interaction. Vetify does not control ElevenLabs' retention practices. See elevenlabs.io/privacy for details.
13.4 Your California Privacy Rights
As a California resident, you have the following rights:
- Right to Know: Request disclosure of the categories and specific pieces of personal information we have collected about you, the sources of collection, the purposes for collection, and the third parties with whom we share your information.
- Right to Delete: Request deletion of personal information we have collected about you, subject to certain exceptions.
- Right to Correct: Request correction of inaccurate personal information we maintain about you.
- Right to Opt-Out of Sale or Sharing: We do not sell or share personal information for cross-context behavioral advertising.
- Right to Non-Discrimination: We will not discriminate against you for exercising any of your CCPA rights.
To exercise your rights over Vetify-held data, please contact us at help@vetify.ai. We will respond to verified requests within 45 days as required by the CCPA.

13.5 No Sale of Personal Information
Vetify does not sell personal information to third parties, nor do we share personal information for cross-context behavioral advertising purposes.
13.6 Shine the Light
California Civil Code Section 1798.83 permits California residents to request information about disclosure of personal information to third parties for direct marketing purposes. We do not disclose personal information to third parties for their direct marketing purposes.
